1. Introduction These Terms and Conditions govern the relationship between you (the “Client”, “you”) and Compass Co Travel (“we”, “our”, “us”) in relation to the booking and coordination of travel services. By making a booking, you agree to be bound by these Terms and Conditions and those of our third-party suppliers.
2. Our Role as Agent Compass Co Travel acts solely as an agent for third-party suppliers including but not limited to airlines, accommodation providers, transport companies, and tour operators. Your contract is with the relevant supplier, not Compass Co Travel. We do not accept liability for the acts, omissions, or defaults of any third-party supplier.
3. Bookings and Payments

A 30% non-refundable deposit of the total package cost is required to secure a booking. The remaining balance is due 90 days prior to departure.
If a booking is made within 90 days of departure, full payment is required at the time of booking. Payments must be made via direct bank deposit into our nominated business bank account.
Your booking is not confirmed until we receive the required deposit and issue a written confirmation via email.
Supplier-Specific Payment Terms:
Some suppliers may require full or partial payment upfront, regardless of our standard payment timelines. For example, a hotel offering a non-refundable rate may require full payment at the time of booking. In these cases, we will notify you, and the required amount will be invoiced and payable immediately to secure the reservation. Deposits – Non-Refundable but Potentially Transferable:
Deposits are non-refundable, however, they may be transferable to a future booking, depending on the supplier’s cancellation policies. This will be assessed and communicated on a case-by-case basis.

4. Cancellations and Refunds

4.1 Cancellations by You
All cancellations must be made in writing via email.
Deposits are non-refundable (see note above regarding potential transferability).
If cancellation occurs: 90+ days before departure: loss of deposit only.*
60–89 days before departure: 50% of total booking cost forfeited.
Less than 60 days before departure: 100% of total booking cost forfeited.
If your booking includes non-refundable services (e.g. special-rate hotels, flights, or tours), those amounts are non-refundable regardless of when you cancel. This applies even if cancellation occurs more than 90 days before departure.
​4.2 Early Payment Requirements & Impact on Cancellations
If a supplier requires early or full payment for a service, and that service is non-refundable, the paid amount will not be refunded in the event of cancellation.
We will always inform you of these requirements at the time of booking, and any such payment will be clearly marked as non-refundable on your invoice.

4.3 Cancellations by Suppliers or Force Majeure
If a supplier cancels a component of your booking due to unforeseen circumstances (e.g. natural disaster, government restrictions, political unrest), we will assist in obtaining any available refund or credit from the supplier.
We are not responsible for losses, expenses, or damages resulting from such cancellations or delays.

4.4 Amendments to Bookings
Requests for changes to confirmed bookings are subject to availability and supplier approval.
Any amendment fees charged by Compass Co Travel will be assessed on a case-by-case basis, and you will be advised in writing via email prior to the change being made.
Supplier-imposed amendment or reissue fees may also apply.

5. Travel Insurance
We strongly recommend that all travelers obtain comprehensive travel insurance at the time of booking. Insurance should cover cancellation, medical emergencies, loss or damage to personal belongings, and travel disruption (including COVID-19-related issues).
Compass Co Travel is not liable for any costs incurred due to inadequate or absent travel insurance.
6. Traveler Responsibilities

6.1 Travel Documents & Entry Requirements
It is your responsibility to ensure that all travelers hold valid passports, visas, and any required entry documentation for their destinations.
We do not accept responsibility for denial of boarding, entry refusal, or related losses due to insufficient documentation.

6.2 Health, Fitness & Conduct
All travelers should be in good health and capable of participating in the activities included in their itinerary.
While no age restrictions apply, we recommend clients assess suitability before booking.
You agree to follow all local laws, safety protocols, and health advisories during travel.
We reserve the right to remove any traveler from a booking or activity for disruptive, abusive, or unsafe behavior. No refunds will be provided in such cases.
6.3 Accuracy of Personal Information
You are responsible for providing true and accurate details for all travelers, including full names (as per passport), dates of birth, ages, and any other personal information required for travel bookings.
Compass Co Travel requires a copy of each traveler’s passport or government-issued photo ID prior to confirming bookings to ensure accuracy and compliance with airline, accommodation, and immigration requirements.
Errors in provided information may result in additional charges, denied services, or cancellation penalties.
7. Communication
All official communication must be in writing via email. This includes quotes, invoices, booking confirmations, changes, and cancellations.

It is your responsibility to ensure your email is monitored regularly for updates related to your travel plans.
8. Pricing and Currency Fluctuations
All quotes are subject to availability and price changes until payment is received.
In rare instances, price increases may occur due to currency fluctuations, fuel surcharges, or supplier increases. If this occurs, we will notify you, and you may choose to accept the change or cancel (subject to supplier cancellation policies).
9. Commissions and Compensation
Compass Co Travel may receive commissions or incentives from third-party suppliers as part of the booking process. This does not affect the total cost to you and enables us to offer added value and client support at no additional charge.
10. Limitation of Liability
To the fullest extent permitted by law, Compass Co Travel is not liable for any: Injury, loss, damage, delay, or irregularity caused by third-party suppliers.
Losses due to missed flights, schedule changes, or acts of God Expenses incurred due to theft, illness, natural disaster, pandemic, force majeure, or civil unrest.
We act in good faith when arranging services and will assist where possible in the event of disruptions, but ultimate responsibility lies with the traveler and the third-party service providers.
11. Governing Law & Dispute Resolution
These Terms and Conditions are governed by the laws of Queensland, Australia.
Any dispute arising from these Terms will first be attempted to be resolved by negotiation or mediation.
If unresolved, disputes may be referred to the appropriate tribunal or court within Queensland.

13. Acceptance By confirming a booking with Compass Co Travel, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions, as well as any applicable third-party supplier terms.
